AI-assisted tools can support authors in improving language quality, organizing content, generating programming code, analyzing data, and enhancing productivity. However, the use of AI must always be transparent, responsible, and consistent with the principles of research integrity.

This policy establishes the journal's expectations regarding the responsible use of AI-assisted technologies during the preparation, submission, peer review, and editorial processing of manuscripts.


2. Purpose of the Policy

The objectives of this policy are to:

  • Promote transparency in the use of AI-assisted technologies.

  • Protect the integrity and reliability of scholarly publications.

  • Clarify the responsibilities of authors, reviewers, and editors.

  • Prevent academic misconduct associated with inappropriate AI use.

  • Ensure compliance with internationally recognized publication ethics.


3. Scope

This policy applies to all individuals involved in the publication process, including:

  • Authors

  • Corresponding Authors

  • Reviewers

  • Editors

  • Editorial Board Members

  • Guest Editors

It applies to all manuscripts submitted to Learning Nexus of Computing.


4. Definition of AI-Assisted Tools

For the purpose of this policy, AI-assisted tools include software or services capable of generating, modifying, analyzing, translating, summarizing, or improving content using artificial intelligence.

Examples include, but are not limited to:

  • Large Language Models (LLMs)

  • AI writing assistants

  • AI grammar and language editing tools

  • AI coding assistants

  • AI image generation tools

  • AI data analysis platforms

  • AI translation tools

The examples above are illustrative rather than exhaustive.


5. Acceptable Uses of AI

Authors may use AI-assisted tools for appropriate purposes such as:

  • Improving grammar and language.

  • Enhancing readability.

  • Correcting spelling and punctuation.

  • Formatting manuscripts.

  • Improving programming code.

  • Assisting with data visualization.

  • Supporting statistical analysis.

  • Translating text.

  • Organizing references.

  • Improving figure quality where scientifically appropriate.

The use of AI must not compromise the originality, accuracy, or integrity of the research.


6. Unacceptable Uses of AI

The following practices are not permitted:

  • Fabricating research data.

  • Falsifying experimental results.

  • Generating fictional references.

  • Creating fabricated citations or DOIs.

  • Manipulating images in a misleading manner.

  • Producing fraudulent peer-review reports.

  • Generating false ethical approvals.

  • Creating fake authors or affiliations.

  • Concealing the use of AI where disclosure is required.

  • Using AI to commit plagiarism or academic misconduct.

Any misuse of AI may result in editorial action in accordance with the journal's Publication Ethics Policy.


7. Author Responsibilities

Authors remain fully responsible for every aspect of the submitted manuscript, regardless of whether AI-assisted tools were used.

Authors must ensure that:

  • All scientific content is accurate.

  • Conclusions are supported by evidence.

  • References are correct and verifiable.

  • Data are authentic.

  • Figures and tables are accurate.

  • The manuscript complies with the journal's ethical standards.

Authors must carefully review all AI-generated or AI-assisted content before submission.


8. Disclosure of AI Use

Where AI-assisted tools have made a significant contribution to manuscript preparation, authors should disclose their use in an AI-Assisted Content Disclosure Statement.

The statement should briefly describe:

  • The type of AI tool used.

  • The purpose of its use.

  • The extent of AI assistance.

Example:

AI-Assisted Content Disclosure: AI-assisted tools were used to improve grammar, language clarity, and formatting during manuscript preparation. All scientific content, analyses, interpretations, conclusions, and final editorial decisions remain the sole responsibility of the authors.

Routine spell-checking or basic grammar correction generally does not require disclosure unless the AI tool contributed substantially to the manuscript.


9. AI and Authorship

Artificial Intelligence tools cannot be listed as authors or co-authors.

AI systems cannot:

  • Accept responsibility for published work.

  • Approve the final manuscript.

  • Declare conflicts of interest.

  • Transfer copyright.

  • Respond to editorial queries.

  • Take responsibility for research integrity.

Only human contributors who satisfy the journal's authorship criteria may be listed as authors.


10. AI and Research Data

Authors must not use AI to fabricate, alter, manipulate, or falsify research data.

Where AI has been used in data analysis, model development, or computational workflows, sufficient methodological details should be provided to enable understanding and, where possible, reproducibility.


11. AI-Generated Images, Figures and Multimedia

AI-assisted generation or enhancement of images, figures, diagrams, or multimedia should not misrepresent research findings.

Where AI-generated visual content forms part of the research methodology or results, authors should clearly disclose its use within the manuscript.

Images must not be manipulated in a way that could mislead readers or alter scientific conclusions.


12. AI and References

Authors are responsible for verifying every reference included in the manuscript.

AI-generated references, citations, DOIs, or bibliographic information must be independently checked for accuracy before submission.

The inclusion of fabricated or unverifiable references may result in rejection of the manuscript.


13. Reviewer Responsibilities

Reviewers should not upload confidential manuscripts or unpublished data to publicly accessible AI systems or online AI services without explicit authorization from the journal.

Reviewers remain responsible for preparing independent, objective, and confidential evaluations.

Where AI tools are used to assist with language editing of review comments, reviewers must ensure that confidential information is not disclosed.


14. Editor Responsibilities

Editors and Editorial Board members should not use AI tools in ways that compromise manuscript confidentiality or editorial independence.

Editorial decisions must always be made by qualified human editors based on:

  • Scientific merit.

  • Originality.

  • Technical quality.

  • Ethical compliance.

  • Reviewer recommendations.

  • Relevance to the journal's scope.

AI tools may assist with administrative or language-related tasks but must not replace editorial judgment.


15. Confidentiality

Manuscripts submitted to Learning Nexus of Computing are confidential documents.

Authors, reviewers, editors, and editorial staff should exercise caution when using AI systems that may store, retain, or process uploaded information.

Confidential or unpublished manuscript content should not be shared with AI services that could compromise confidentiality or intellectual property rights.


16. Editorial Assessment

The Editorial Office may request clarification regarding the use of AI-assisted tools whenever necessary.

Where inappropriate AI use is suspected, the journal may:

  • Request additional information.

  • Seek clarification from the authors.

  • Request original data or supporting documentation.

  • Conduct additional editorial review.

  • Reject the manuscript where appropriate.


17. Misuse of AI

Improper use of AI may constitute academic misconduct.

Examples include:

  • Fabricated research.

  • Fabricated datasets.

  • Fabricated peer-review reports.

  • Fabricated references.

  • Undisclosed AI-generated content intended to mislead.

  • Manipulated images or figures.

  • Other deceptive practices.

Such cases will be handled in accordance with the journal's Publication Ethics, Corrections, and Retractions policies.
